The Client Approval Workflow That Stops Killing Your Week

Marquee Social Team · August 18, 2026 · 2 min read

Ask most social media managers what actually eats their week, and the honest answer is rarely "writing the posts." It is chasing approval: the email that goes unanswered for three days, the "can you change the wording slightly" that arrives the morning a post was due, the client who approved something in a text message that nobody else on the team saw.

Why the usual approval process breaks

The default approval process at most agencies is some combination of email threads, a shared spreadsheet, and screenshots sent over text. Every one of those has the same failure mode: the approval lives somewhere the person publishing the post cannot see it in context.

That gap is where posts go out late, or worse, go out unapproved because someone assumed silence meant yes.

What a working approval process actually needs

1. The client reviews the post exactly as it will look when published, not a Google Doc description of it. A caption pasted into a spreadsheet cell tells a client nothing about how it reads next to the image.

2. One click to approve, one click to request a change. Not a reply-all email chain. The moment approval requires composing a message, response time triples.

3. A visible status for every post, so nobody on the team has to ask "did the client see this yet?" The answer should be on the screen, not in someone's inbox.

4. A hard rule that unapproved content cannot publish. This sounds obvious, and it is the rule that gets skipped under deadline pressure, which is exactly when it matters most.

The lead time that actually works

Send content for approval far enough ahead that a "no" does not become an emergency. A week of lead time on standard content, two to three weeks on anything tied to a launch or a campaign, gives everyone room to iterate without the account manager sending a panicked message at 4:45pm.

The real cost of getting this wrong

It is not just the wasted hours chasing sign-off, though that is real. It is the trust cost: a client who has to chase an agency for visibility into what is about to go out under their name starts wondering what else is being handled loosely. A clean, visible approval process is one of the fastest ways an agency signals it is actually in control of the account, not just producing content and hoping.

Put this into practice without the busywork.

Marquee Social schedules every client’s posts from one place, at the times that actually work, so you stop doing this by hand.
